  •  EXPERIENCE AND TRAINING:  Graduation from high school or possession of high school equivalency diploma (GED) and three years of experience in accounts payable or an equivalent combination of experience and training.
  • HOURS OF WORK:  35 hours per week, 9:00 a.m. to 5:00 p.m. 

GENERAL STATEMENT OF DUTIES: Responsible for processing and maintenance of invoices, vouchers and purchase orders on a timely basis resulting in the payment of accounts payable checks. 

SUPERVISION RECEIVED: Works under the direction of the Town Treasurer or a designated supervisor. 


ESSENTIAL JOB FUNCTIONS: Regular & punctual attendance; verifies availability of funds, encumbers se orders, matches invoices received from vendors against vouchers and purchase orders to determine correctness of prices and quantities; enters purchase orders and vouchers into computer bookkeeping system; produces checks to vendors on a fixed schedule; makes journal entries, takes Xerox readings and computes Xerox charges; answers inquiries from vendors and varying departments in person or over the telephone; maintains computerized vendor listing; types checks, forms, letters, etc.; keeps records of bills, vouchers, purchase orders and payments made; runs on a bi-weekly basis an accounts payable report that has to be balanced and kept current for A/P information; prepares reports on lotus, and the quarterly report of outstanding invoices for all departments. 

OTHER JOB FUNCTIONS: Calculates account balances; prepares reports for vendor auditors; sends telephone toll charges to departments, computes telephone charges monthly; assists in other accounting bookkeeping areas as needed; distributes invoices to the departments; deals directly with supervisory on questions relating to correct account usage and other questions relating to purchase orders; meets with varying supervisors to assist them with problems and questions regarding procedures, performs relate work as required.

While performing the duties of this job, the employee is frequently required to sit, talk, hear and perform repetitive tasks with hands, wrists and arms.  May be occasionally required to walk; kneel; use hand to operate, finger, handle or feel objects or controls and reach with hands and arms; may be required to perform repetitive motions. May occasionally be required to lift, push or pull up to 20 pounds. Hand-eye coordination is necessary to operate computers and various pieces of office equipment.  Specific vision abilities required by this job include close vision and the ability to adjust focus.

Must be able to concentrate on fine detail with constant interruption, attend to task for 45-60 minutes at a time, remember multiple assignments given over long periods of time and understand the theories behind several related concepts. 


KNOWLEDGE, SKILL AND ABILITY: Good knowledge of basic accounts payable procedures and practices; knowledge of basic governmental accounting principles and practices; knowledge of business English and math; ability to understand and follow oral/written instructions; knowledge of modern office practices, procedures and equipment; ability to learn assigned clerical tasks readily and to follow departmental methods in performing tasks; ability to make arithmetic computations and tabulations accurately and with reasonable speed; skill in operation of computer terminal; skill in typing neatly and accurately; dependability; honesty; neat appearance; ability to establish and maintain effective working relationships with other employees and the public.  This job description is not, nor is it intended to be, a complete statement of all duties, functions and responsibilities that comprise this position.
