SECRETARY I - Youth Services

 SALARY: $13.32/hr

  •   EXPERIENCE AND TRAINING: Graduation from high school or possession of high school equivalency diploma (GED) and not less than three (3) years' employment in responsible position exercising moderately complex clerical work or any equivalent combination of education and experience

GENERAL STATEMENT OF DUTIES:  Performs variety of responsible and sometimes specialized clerical tasks relating to the administration and daily operations of a particular Town department, division or office.

 

SUPERVISION RECEIVED:  Works under the general supervision of a division head or his/her designee.

 

SUPERVISION EXERCISED:  May oversee other clerical and/or part-time employees as assigned.

 

ESSENTIAL JOB FUNCTIONS:  Regular & punctual attendance; types or word processes letters, notices, memoranda, drafts, reports and other materials from copy, rough draft, brief notes, instructions and/or dictation and files same; maintains simple accounting, financial and other records of departmental activities, i.e. budget expenditures, purchase orders, utility bills, etc.; receives visitors to office; records various information transactions;  assembles information necessary in preparation of reports; prepares reports involving clerical or tabular information;  operates variety of modern office machines such as photocopying, word processing, adding, calculating machines;  requisitions and orders supplies and materials; maintains inventory of office supplies; makes arithmetic calculations, computes and compiles data from various sources; computes and keeps time records, submits office timesheets to payroll; enters payroll information into computer; keeps files current and in good order; inputs payroll information into computer system; answers all incoming phone calls, takes messages, etc.

 

OTHER JOB FUNCTIONS: Opens, sorts and distributes mail; assists public by giving or securing information; receives, records, and receipts checks and/or cash and forwards same to proper location or makes bank deposits; may notarize documents; may take and transcribe dictation or minutes of meetings; prepares periodic department reports from data maintained on daily basis; performs related work as required.

While performing the duties of this job the employee is frequently required to sit, use hands to finger, grasp, handle, feel or operate objects, tools, or controls; talk or hear.  The employee is occasionally required to balance, stoop, kneel, crouch, reach with arms and hands, stand, and walk.

 

The employe must occasionally lift and/or move up to 20 pounds.

Performs complex tasks requiring independent knowledge and its application to non-routine situations.

Must be able to concentrate on fine detail with constant interruption and remember multiple assignments given over long periods of time.

MINIMUM QUALIFICATIONS:

 

KNOWLEDGE, SKILL AND ABILITY:  Considerable knowledge in the use of business English; thorough knowledge of modern office practices and procedures; good knowledge of departmental programs, functions operations, policies, practices and terminology; ability to operate computer terminal for retrieval/input of information, word processing and other applications; ability to make decisions in accordance with policies and regulations; ability to compose letters and memoranda; ability to make arithmetic computations accurately and with reasonable speed; may require ability to take and transcribe dictation; considerable typing and/or word processing skills; mental alertness; neat appearance; ability to work in harmony with others; dependability; tact; courtesy; resourcefulness.

 

This position requires successful completion of mandatory clerical exam with a passing score of 70.  Applicants who have the minimun qualification will be notified by mail of the exam date and time.
